Administrator/Operations Manager, Part-time, Hybrid
10 hours per week, $30-35 per hour DOE
The Administrator/Operations Manager role serves as a primary hub for Center for Spiritual Living Ballard. Ideally, you:

This position reports directly to the Senior Minister and works closely with Core Council leadership. We are a member community within Centers for Spiritual Living and operate as a 501(c)(3) nonprofit organization.

What You'll Do:
Church Management System
Breeze is our congregant database where we track membership, maintain the calendar, classes, giving records, and manage communications to the congregation. Keep congregant information accurate and current, and manage related communications to the congregation. Breeze training will be provided.
Building Operations & Maintenance
Manage the building on a day-to-day basis. This includes:

Manage keys and building access

Make sure regular cleaning occurs – trash and recycling out, common areas tidy – coordinating volunteer cleaners or potentially a cleaning service

Maintain a master schedule of maintenance and repairs

Schedule maintenance, get service quotes, and meet with contractors or other professionals on site as needed

Serve as the main point of contact for our two long-term renters (the apartment and the band room), including rent payments and rental agreements
Event & Fundraising Support
Project manage our annual events, including the community picnic and major in-house fundraisers. Work with the Marketing/Promotions team and Events Coordinator on proofreading materials, coordinating event details and coverage, securing permits, and handling ticketing. After each event, reconcile income with the bookkeeper.
Procurement
Make sure the building and office stay stocked with office supplies, paper goods, kitchen and housekeeping supplies. Oversee these, along with other purchases approved by Core Council. Keep an eye on routine online payments like utilities and insurance.
Volunteer Coordination
Work with team leaders to help volunteer teams succeed — such as the kitchen team, greeters and stewards, and maintenance team. Recruit, assign, and support volunteers for specific tasks.
Recordkeeping
Keep digital and paper records organized and current — rental contracts, W-9 forms, procedural documents, and similar files — and coordinate with the bookkeeper.

Support our practitioners' administrative needs for classes and workshops, and provide administrative input to the Senior Minister and Core Council as needed, especially around budget preparation and the annual pledge drive
Occasionally attend a Core Council meeting as a non-voting member (currently held on the fourth Tuesday of each month at 6:30 p.m.)
Point of Contact
You are the person who knows who does what and helps people find the right person to answer their questions. Manage the shared CSLB email inboxes together with the bookkeeper, and serve as our point of contact for IT support, our website administrator, and our Event Rental Coordinator.
Work Location
We'd love you to be on site on Sundays — that's your best opportunity to directly connect with the community and leadership team in person, so we consider it a priority. Remote work for admin and clerical tasks is fine, but you will want to be on-site sometimes for building specific tasks. A secure on-site office is available for use.
Technology & Equipment
We run on Microsoft 365. We have a computer and a printer/scanner for on-site use.
